Conditions of Hire

For the hire of galleries for events and entertaining at
Pallant House Gallery.

  • Pallant House Gallery, (the Gallery) is prepared to offer facilities for functions to be held within specified accommodation. The Gallery houses one of the best collections of 20th century art, the safety of which is of paramount importance, as is the Grade 1 historic building and the recently completed contemporary building in which it is housed. Applications for use of accommodation for functions will be accepted only if functions are considered reasonable and appropriate for the Gallery as a venue.

  • Those placing the bookings must fully and fairly represent the purpose for which accommodation is required. Any misrepresentation may result in cancellation of the function at any time by the Gallery. Under no circumstances may the Hirer sub-let or further offer for hire any accommodation booked.

  • The time agreed on the Confirmation of Booking form at which the event must finish must be strictly adhered to: all guests must have left the Gallery premises by that time.

  • The front doors to the Gallery will close at 5.00pm and will not open again until 15 minutes before the commencement of the event. Chairmen and distinguished hosts, should be asked not to arrive before that time. Preparations by organisers for events will not be permitted in the public galleries before 5.00pm when the Gallery closes to the public.

  • No function can be confirmed without a signed copy of this ‘Conditions of Hire' document. The Hirer will confirm the booking of the event by signing and returning a copy of the ‘Conditions of Hire' document together with a copy of the agreed quotation for the event.

  • The hire fee must be paid in full two months prior to the event. If the event is cancelled with less than one months hire, the full fee is payable.

  • The Gallery has a no- smoking policy in the building.

  • All catering is provided by ‘Field & Fork'. No other caterers maybe used
    whether for food or drink.

  • Due to the unique nature of the venue as an art gallery, red wine is not permitted.

  • No alterations maybe made to the layout or appearance of any room, save for the addition of tables, chairs and other equipment for the particular event, provided by the Gallery. On no account may paintings and other works of art, furniture, fixtures and fittings be moved.

  • Use restrictions may vary according to the exhibition layouts (as advised).

  • The hirer must specifically agree with the Gallery's Events Co-ordinator and adhere to instructions with respect to the precise type of entertainment to be provided, eg music and any similar entertainment. Any specified maximum volume or level of sound for music or other entertainment must be strictly adhered to.

  • The Hirer must take instructions from the Gallery's Events Co-ordinator, and while functions are in progress from the Duty Manager. The Duty Manager will assume full control and responsibility, including where appropriate, evacuation procedures in the event of fire or any security matter or the behaviour of those attending events, warrant such control and implementation of procedure.

  • Gallery employees will staff the main entrance and will steward the galleries in use. A member of the hirer's organisation should be on hand at the main entrance to identify guests.

  • Copies of the invitation card and a guest list must be sent to the Gallery's
    Event Co-ordinator prior to the event.

  • The Hirer must be responsible for keeping proper order and shall also ensure that all persons attending the event shall behave in a seemly manner and comply with any instructions they may receive from any Gallery official.

  • Organising personnel and other personnel employed by the Hirer, should not arrive until 30 minutes prior to the commencement of the event. Names are to be provided in advance and personnel will be asked to sign in. It is regretted that no office facilities are available to use by organisers or Hirers. Gallery staff are instructed to deny access to offices and machinery.

  • The Hirer must ensure that all guests have left the Gallery by the agreed time. The hire period includes set up, the event and the take down afterwards. Failure to leave the premises on time will incur further charges at the hourly hire rate.

  • After the event, the Hirer must remove from the Gallery all litter and anything brought in for the event and ensure that the accommodation and the access routes are left in a tidy condition to the satisfaction of the Gallery's Events Co-ordinator. The Gallery will not accept responsibility for loss or damage to any articles brought into the Gallery by organisers or guests.

  • While the Gallery will indemnify the Hirer against claims resulting from the Gallery's negligence the Gallery does not accept any responsibility for claims arising from the Hirer's own personnel, guests and suppliers employed by the Hirer. The Hirer will be responsible for arranging insurance to cover such risks.
